Zettelkasten Method

Definition

A personal knowledge management technique built on atomic notes + dense linking + emergent structure, originated by German sociologist Niklas Luhmann (who used it to write 70+ books and 400+ academic articles from a personal slip-box of ~90,000 notes). German Zettelkasten = “slip-box.”

The three note types (Ahrens 2017)

Why it works

  • Atomicity makes notes reusable — a permanent note on OEE can be linked from a strategy doc, a customer pitch, a PFE study guide, and a sector pack
  • Linking creates surprise — encountering an old note in a new context generates the thinking the system is for
  • Emergent structure beats imposed taxonomy — you discover the categories that matter by what gets linked together, not by deciding up-front
  • Writing forces clarity — the act of putting something in your own words exposes the gaps

How NOTQIN uses Zettelkasten

The Industrial Intelligence/Concepts/ and Knowledge Management/Concepts/ folders are explicitly Zettelkasten-style:

  • One concept per file (OEE, MTBF, Cycle Time, SECI Model, Tacit vs Explicit, etc.)
  • Dense wikilinking within each note’s See also section
  • Notes are 30–60 lines — small enough to be atomic, big enough to be self-contained
  • Structure is emergent — the README + Knowledge Base Map index the network, but each note stands alone

This was a deliberate design choice. The 5-layer model + 6 target questions in the Operating Thesis because the underlying concepts are atomic and linked.

Common mistakes

  • Treating Zettelkasten as a capture system (it isn’t — captures are Fleeting notes; the real work is converting them to Permanent notes)
  • Writing notes that are too big (multiple ideas → loses atomicity)
  • Skipping the “in your own words” step (copying breaks the Internalization)
  • Insufficient linking (a note with zero outbound links is dead)
  • Over-tooling — the method works in plain text; the tool is secondary
  • Confusing folder hierarchy with knowledge structure (folders are for navigation; links are for thinking)
